Standard Practice for Media Licensing at Te Papa by External Contractors

LICENCE RIGHTS

LICENCE TERM


The preferred Term of Licence is "for the life of the exhibition". If the exhibition is created as a long-term display within Te Papa, licence must be secured with no end date. If content provider requires an end date, and negotiation to secure a licence for the term "for the life of exhibition" fails, a licence may be obtained with a 20 years term.

TERM USE

Licence must cover both the contractor and Te Papa's right to use acquired material.
Licence must be obtained granting the following rights, unless otherwise indicated in brief:


  • Non-commercial museum display
  • File manipulation such as cropping and excerpting, preferred
  • Non-broadcast, closed circuit monitor display of AV content
  • Promotional rights to include both printed and digital formats
  • Additional use on Te Papa web and social media sites.


TERRITORY

Licence must be secured for use within the markets stipulated within the brief. If exhibition is listed for travel / touring, then worldwide rights must be acquired. If exhibition is listed as long-term museum display, then New Zealand only use is required.


DELIVERABLES


DIGITAL ELEMENTS

Contractor is to supply Te Papa high resolution copies of all digital materials licensed for use as part of the agreement. Materials must be supplied in the file specification outlined in the brief. If specifications are not listed, contractor is to supply to Te Papa the highest quality files available. Each file should be individually named in a clear, understandable manner and should retain any original asset ID provided by the content supplier.


DOCUMENTATION

Contractor is required to supply Te Papa the following documents as part of the agreement.

  • Media content licences
  • Invoicing of media content
  • Media content list (see below)
  • AV shotsheet (see below)

A media content list is required detailing all media content (images, motion footage, audio files, graphic designs and animation). Document should be delivered as an excel spreadsheet and contain the columns.

Thumbnail: containing image, graphic or screen grab of associated content.
Media type: image, video, graphic illustration, audio
Description: brief description of content
Ownership/supplier: name of copyright holder, if material was sourced from a media content supplier, list name of supply house.
Credit: containing suppliers preferred credit.
File name: as mentioned above file name should be clearly recognizable and contain the original asset ID provided by content supplier.
Contact: list name, email and telephone number of copyright owner or content supplier.
Price: licence price of content.
Weblink: if applicable please supply the URL of content supplier.
AV timecode: supply full 8 digit IN/OUT timecode provided by content supplier.


Outdent

AV shotsheet is to be provided for any AV content created by contractor. This shotsheet should list IN/OUT timecode, original shot file name, as well as a brief description for all edit cuts.
